The University of Texas at Arlington’s EH&S Team manage both their annual x-ray and laser inspections forms in CampusOptics. They leverage conditional logic to present appropriate inspection questions based on state-mandated equipment categories. Images and equipment-specific documentation are attached directly to X-Ray asset records, so that the device’s history and paper trail persist through location and staffing changes.

The EH&S team has also created a Radiation Producing Machine Registration (RPMR) process using CampusOptics Permit Management, to ensure that EH&S is aware of all new equipment and potential users have been properly trained.

These inspections require in-person PI participation, as the EHS team reviews a variety of procedural and training documentation during the inspection process. The EH&S team is considering the use of CampusOptics’ conditional questions to consolidate these forms into a single more adaptive template that surfaces only the questions relevant to the lab type being inspected.

Quick inspections are typically conducted during the intervals between these more detailed inspections and focus on visible, walk-through issues, that do not require in-person PI participation. This alleviates some of the challenges associated with PI scheduling, while ensuring that EH&S is still visiting labs on an annual cadence.

IAQ & Ergonomic Assessments

The Nova Southeastern University EHS team leverages CampusOptics to streamline indoor air quality (IAQ) and ergonomic assessment requests through a system-generated URL embedded in their email signatures and on their website. When a request is received, technicians use the CampusOptics mobile app to conduct field inspections; efficiently logging investigative details, photos, and root causes.

Corrective actions are then automatically routed to responsible parties and tracked to completion. Furthermore, by designating Housing and HVAC personnel as “followers” of IAQ assessments, CampusOptics automatically notifies these teams, eliminating the EHS office as a bottleneck for routine concerns and improving response times through more efficient collaboration.

Dental Checklists & Clinical Safety Inspections

Unique to the College of Dental Medicine, the Dental Observation and Policies & Procedures Checklists strictly follow CDC infection prevention guidelines. To optimize efficiency, policy reviews were decoupled from direct clinical observations after the combined process proved too time-consuming.

On a broader scale, quarterly Clinical Safety Inspections are conducted across all health clinics, providing a reliable framework to track and enforce university safety standards. Consistent with other inspection forms, identified issues are assigned to the appropriate responsible parties, allowing the EHS team to easily monitor progress and verify completion.

Food Services Sanitation Audits

The EHS team conducts triannual food service sanitation audits to closely monitor health and safety conditions across all third-party kitchens and cafeterias. These proactive evaluations are designed to identify and remediate compliance issues well before official Department of Health inspections, ensuring continuous regulatory alignment and a safer campus dining experience.
